Requirements of the event
300 artists with their travel parties - picked up at railway stations and airports in NRW, brought to the festival site, back to the hotels at night. Four days, up to 20 hours a day. Every transfer is time-critical: if you have a playtime, you have to be on stage on time.

What happens when an artist is stuck in a traffic jam and has to be on stage in 40 minutes?
All 40 vehicles are continuously monitored by GPS. As soon as a vehicle is delayed, the driver is actively diverted. Not after notification, but before the problem becomes a problem. There is no buffer for reaction time for Artist transfers.
How do you coordinate 2,500 transfers over 4 days without losing track?
Coordinators are positioned at two fixed points on the festival site, with a planning team close by to provide higher-level control. Journeys are assigned, adjusted and confirmed in real time via a driver app. Digital control over the entire operation, plus spontaneous flexibility on demand if plans change at short notice.
Who informs whom if something changes on the site at short notice?
Constant communication with the artist team is not a nice-to-have, but a basic requirement. Closures, schedule changes or additional requests at short notice are fed directly into the vehicle and coordinator system, without any detours.
How do you keep 80 drivers on course on a festival site without clear roads?
Drivers receive detailed briefings with plans, photos and videos of the terrain as well as time for test drives before their first assignment. If you know the terrain before the first artists get on board, you won't waste any time getting your bearings.
Working 20 hours a day: how do you plan shifts so that nobody misses work?
A festival is a marathon, not a sprint. Shift planning, handovers and break times are planned just as thoroughly as the transfer routes themselves. Long assignments require more shifts, which is right and important - because safety and a fresh head must have top priority in guest logistics.
